Holidays with pay policy

1. PURPOSE

1.1 The purpose of this policy is to establish the paid holidays (statutory holidays and floating holidays) to which employees are eligible, as well as the relevant procedures.

2. SCOPE

2.1 This policy applies to all non-unionized non-academic staff.

3. POLICY STATEMENT

3.1 Statutory holidays

3.1.1 A paid holiday shall be a 24-hour period which begins at 12:01 a.m. on any of the established days.

3.1.2 Employees are eligible to the following paid holidays:

  • New Year's Day
  • Good Friday
  • Easter Monday
  • National Patriot Day
  • La F锚te Nationale
  • Canada Day
  • Labour Day
  • Thanksgiving Day
  • Christmas Day
  • Boxing day
  • Three (3) additional days over the Christmas Period

3.1.3 If a paid holiday falls on a Saturday or a Sunday, it will be moved to the nearest Friday or Monday, as determined by currently prevailing business practices.

3.1.4 The dates of the six (6) paid holidays occurring during the Christmas period will be determined in accordance with the day of the week upon which Christmas falls, according to the following schedule:

3.2 Procedures

3.2.1 If the services of an employee are required on a paid holiday, compensating time off will be granted. An employee who is required to work on a paid holiday will be paid double time (200%) for the hours worked and be entitled to time off at a future date agreed upon between the employee and their immediate supervisor.

3.2.2 An employee with an unauthorized absence on the workday before or after a paid holiday will not be paid for that holiday unless the absence was due to personal illness, injury, or other extraordinary circumstances.

3.2.3 When a paid holiday falls within a vacation period, the employee shall be entitled to an additional day off, the scheduling to be subject to the approval of the employee's supervisor.

3.3 Floating Holidays

3.3.1 Regular employees, and employees hired on a term appointment on staff as of June 1 in any year will be entitled to two (2) floating holidays to be taken during that reference year. Eligible employees joining the University after June 1 but before December 1 will be entitled to one (1) floating holiday in the reference year.

Eligible employees joining the University on or after December 1 will not be entitled to floating holidays in that reference year.

3.3.2 The scheduling of floating holidays will be subject to individual arrangement between the employee and the employee鈥檚 supervisor.

3.3.3 An employee holding a sessional appointment in any reference year will receive two (2) floating holidays in that reference year provided the employee held a previous sessional appointment.

3.3.4 Part-time employees working less than a five-day week will be granted floating holidays on a pro-rata hourly basis.

3.3.5 An employee may opt to convert the two (2) floating holidays provided in clause 3.3.1 to two (2) working days. By May 31 at 5:00 PM of any given year, an employee who so chooses must convert their two floating holidays by electing participation in the Human Resources Information System. No action shall be required of Employees who choose not to convert their two (2) floating holidays. The option to convert the two (2) floating holidays into two (2) working days is irrevocable.

3.3.6 The two (2) floating holidays thus converted will be compensated by a non-base lump sum payment of 0.8% of the employee鈥檚 annual salary as of June 1, paid in June each year. Part-time employees, who opt to work the floating holidays, will be compensated on a pro-rata basis.
