Instructors: Frequently Asked Questions

How do I know if a student is registered with Student Accessibility and Achievement?

Students may choose to disclose their registration to instructors. They might do so by email, in conversation, through an instructor notification letter, or through an exam request. Students are encouraged to disclose their barriers and not their diagnosis. Instructors will also be notified when a student writes their exams or midterms with the Student Accessibility and Achievement exam centre.

Final Exams: Do I need to submit a copy of my final exam to Student Accessibility and Achievement?

Please complete the    form in ClockWork, even if your exam has been submitted to Central Exams (we request more information than Central Exams collects).  Then:

  • If your Final Exam is scheduled through Enrolment Services: You do not need to submit a copy of the exam to our office. We will retrieve a copy of your exam from Central Exams or the Student Affairs Office (Macdonald campus).
  • If you have a departmental Final Exam (i.e., it is not on the Final Exam schedule): Please upload your test/exam and complete the Exam Instructions form in ClockWork.

Can Student Accessibility and Achievement change the start time or date of my exam?

Yes, we may need to adjust the start time to fit within our Exam Centre's operating hours. We cannot change the exam date. The Exam Center proctors exams from 8:30 am to 7:30 pm. Start time adjustments are made based on the student’s accommodations and exam time. Exam security is maintained through sequestering.

Example: Your exam is scheduled from 6:30 - 9:30 pm. A student writing with Student Accessibility and Achievement would need to finish by 7:30 pm, and must also remain sequestered at the Exam Center until 7:30 pm (1 hour after the class' exam start time) in order to maintain exam security.

If a student misses or wants to defer an exam, they will need permission from their Faculty to write on an alternate date. The faculty must send an authorization email to access.exams [at] mcgill.ca, including the authorized alternate date. We will then coordinate with the student for the exam start time.

There's an error or change to my exam; what do I do?

Please contact the Exam Centre as soon as possible by emailing access.exams [at] mcgill.ca or calling 514-398-2480.

Can I accommodate a student on my own, without Student Accessibility and Achievement?

Yes. If you are willing to provide a student their academic accommodations, you are welcome to do so. You may ask the student to contact their Student Accessibility and Achievement Advisor to communicate their specific accommodations to you.
If you have multiple students with various time-based accommodations, you should not provide them all with the highest extra time accommodation. This would constitute an unfair advantage for students who only require a fraction of the additional duration, and is not consistent with inclusive pedagogical practices.

Can students contact me with questions while writing their exam with Student Accessibility and Achievement?

If you are taking questions, you may want to be available earlier than the scheduled exam time.  You can include your or your TA's phone number in the Exam Instructions Form in ClockWork.  Phone numbers are not shared with students and are only accessible to Exam Centre staff. When students ask questions, they signal to an invigilator who lets the Exam Centre staff know. Our staff place the phone call, and once you have been reached, the student is brought to the phone to ask their question.
