Applicant Census - Privacy Protection and User Rights Statements

Please read the following information carefully. Below is information on why we collect this data, how we use it, and how we keep your data safe.

Why we collect applicant demographic data

We want to understand the composition of our applicant pool so that we can assess the effectiveness of our outreach and recruitment efforts, as well as our admissions policies, in addressing underrepresentation in our student body.

How we use applicant demographic data

Identifying information will never be shared with any external bodies, data will never be used in any admissions decisions or to affect any academic evaluation or disciplinary action. Identifying information will never be shared with your instructors, supervisors, or fellow students.  Your data will be anonymized and only reported in aggregate. It will only be used to inform operational decision making toward meeting University EDI priorities. Aggregate data will be reported biennially to Senate and will be posted on ³ÉÈËVRÊÓƵ’s Equity Related Policies & Reports webpage. Similar reports may be produced at the Faculty level.

How we protect applicant demographic data

Applicant demographic data is encrypted and stored on ³ÉÈËVRÊÓƵ’s secure servers. Access to identifying information is restricted to a small number of employees for the purpose of building aggregate reports. Aggregate results < 5 are masked to avoid identifying individual applicants. Identifying information will never be shared with any internal or external bodies. Once the data is aggregated, identifying information will be destroyed if you do not become a registered student at ³ÉÈËVRÊÓƵ.

Destruction of demographic data

If you do not consent to the collection of data for the purpose described here, your data will not be stored and it will not be used.

If you consent but do not become a registered student at ³ÉÈËVRÊÓƵ in the semester you applied to, the identifying information provided as part of this Applicant Census will be destroyed within 18 months of your application.

Your anonymized data based on the information you provided may continue to be used in aggregate reports.
