AI Advisory Committee

The AI Advisory Committee supports andÌýadvisesÌýtheÌýUniversity'sÌýsenior leadership on theÌýstrategic, ethical, andÌýresponsibleÌýadoptionÌýof AIÌýat ³ÉÈËVRÊÓÆµ.ÌýThe committeeÌýhelps ensure alignment with institutional priorities, government requirements,Ìýand best practices while fostering innovation across all areas of theÌýUniversity.Ìý

Key responsibilities include:

Operational Governance

AI Review Committee

The AI Review Committee oversees the operational review of all AI tools and AI-enabled services before deployment. The committee helps ensure AI tools meet ³ÉÈËVRÊÓÆµâ€™s governance, compliance, and risk management requirements.

The review process may include:

  • Assessing security, privacy, and data handling and contractual risks
  • Reviewing all AI tool and platform requests
  • Evaluating AI models, data usage, and retention practices
  • Ensuring alignment with ³ÉÈËVRÊÓÆµ policies and government directives
  • Coordinating with existing cloud and technology review processes

The process applies to new AI tools, AI features added to existing platforms, and requests involving on-premises AI infrastructure or sensitive data.

Process for requests and access to AI tools

AI tools and AI-enabled services are reviewed before institutional use to help ensure privacy, security, legal, operational, and responsible AI requirements are met.Ìý

Behind the scenes, the AI Review Committee works withÌý³ÉÈËVRÊÓÆµâ€™sÌýprivacy, security, procurement, legal, and technology teams to assess risks, data handling, vendor practices, and policy alignment based on the intended use of the tool.Ìý

ToÌýsubmitÌýa request for an AI toolÌýor AI-enabled feature,Ìýyou must complete theÌýÌýlocatedÌýon the IT Support siteÌýandÌýprovide the following information:

  • TheÌýname of the AI toolÌýor feature
  • A description of howÌýitÌýwill be used
  • WhatÌýkind of dataÌýwill be enteredÌý(i.e., public, protected, or regulated data).ÌýFor examples, seeÌýsection 2.3 in theÌýGuidelines for Enterprise Data Classification Levels.Ìý

When a review isÌýrequiredÌý

A request should beÌýsubmittedÌýwhen you want to:Ìý

  • Use a new AI tool for institutional workÌý
  • Enable AI features in an existing platformÌý
  • Use AI with confidential or sensitive dataÌý

What is reviewedÌý

Reviews may consider:Ìý

  • Proposed use cases and its institutional purposeÌý
  • Privacy, security, andÌýdata classificationÌýrisksÌý
  • Vendor reliability, contractual terms, and procurement implicationsÌý
  • Whether data may beÌýretainedÌýor used to train AI modelsÌý

How the process works

  1. Submit a request:ÌýProvide basic informationÌýonÌýtheÌýname of the AIÌýtoolÌýor feature, how it will be used, andÌýtheÌýtype of dataÌýthat will be entered.ÌýÌý
  2. Intake and triage:ÌýThe request is routedÌýto theÌýappropriate teamsÌýfor privacy, security, procurement, legal, cloud, and AI governance as needed.Ìý
  3. Review:ÌýThe request is assessed based on theÌýtypeÌýof tool, intended use and associatedÌýrisks.ÌýÌý
  4. Decision:ÌýRequests may be approved, approved with conditions, deferred pending more information, or not approved.ÌýApproved tools may require training or periodic assessment to ensure continued compliance and responsible use.Ìý

Important conditions of useÌý

  • Protected and regulatedÌýinformation must not be entered into public AI systems unless authorized.Ìý
  • UsersÌýare responsible forÌývalidating AI-generated outputs.Ìý
  • Training may beÌýrequiredÌýbefore access of use.Ìý
  • Approved toolsÌýmay be periodically reassessedÌýandÌýmonitored.Ìý
